- Do the deletes first, including deleting the records from the catalog. This means that any that are added and deleted in the same time frame will not be on the add list.
- What this will not catch: if duplicates were added by mistake and one was marked for deletion. But it will only mean that record isn't in our history file, so we won't get updates for it. But presumably this doesn't happen much.
- The minimum charge is $10.00 (200 records). So if not doing monthly to send bigger batches, leave d coded records in system until ready to do the whole process.
- Notify Marcive via e-mail that file(s) have been sent. Include the file name(s), number of records, and file size(s).
- After sending deletes is a good time to clear the Heading Reports, solving or distributing problems as needed.
- Create list of name authority records (including uniform title authority records) marked for deletion (saved in sks 9/08 name auth (incl UniTitles) with delete code).
- Sort list by acode 2. If there are any records coded l, these were never sent to Marcive and can be deleted from the library catalog immediately, without being sent to Marcive.
- Export 010|a to the desktop, naming the file BATAmmNA.del where mm is the month (e.g., 07 for July) (set Text qualifier to none).
- Open the file. Remove the top line (010|a).
- Rename the file, removing the .txt extension.
- Delete the authority records from the library catalog.
- Delete the list from Create Lists.
- Use Core ftp to ftp the file to Marcive. It goes into the input/athority [sic] directory.
- Once sent to Marcive, move into Bates work/authority work (marcive)/addDeletes/Sent.
- Update this page with the date sent.
