Adding a New Location (FAQ on CSDirect)

(Note: Doing all the steps to add a location takes approximately 2 1/2 hours. Removing a location takes approximately 6 hours.)

• Devise location code and edit the Branch (location) codes table. Use direct, not inverted forms for names of locations, since inverted forms confuse the display of multiple locations (multi) in browse lists.
• Update default templates.
• For non-virtual locations, add location code to WebBridge maps.
• Add location to List of Locations (Glossary)
• Update Innopac documentation or procedures that include location codes.
• Add location to Rules for Requesting to prevent item from being requestable (not needed for electronic locations that are only used in bibliographic records, i.e., no attached items).

If Location Circulates:

• Have Circulation update the Loanrules and the Rule selection table.

If Location is Limitable (bib locations only):

• Add the location to the Branches menu in ASAA. This table may use inverted forms of location names to alert patrons to similar locations (e.g., Bookstacks and Bookstacks, Oversize).
• Add location to Limiting in the Catalog by Location (Using the Catalog).

If Location belongs in a Scope:

• Have Innovative add the location to the scope table.
• Add location to Searching Part of the Collection (Using the Catalog).

If location is for material that will show up on the CBB new materials list:

• Notify Sara Amato.

• Assign code, if applicable, to one of the broad Bates locations (Ladd Library ; Audio/Video ; Muskie/Special Collections).

From CSDirect FAQ on Bad Codes:

Never delete a location code before removing it from all records, tables, and system options in which it occurs. Note that Innovative will have to remove the code from certain tables, such as the scoping tables. Always read the User Manual discussion on deleting location codes before removing codes (Release 2009, page #103100). Follow these instructions carefully.

In addition to the list in the user manual:

• Remove location from List of Locations (Glossary)
• Remove location from Limiting in the Catalog by Location (Using the Catalog).
• Remove location from Searching Part of the Collection (Using the Catalog).
• Update Innopac documentation or procedures that include location codes.
• Notify AquaBrowser the code is being removed.
