Minutes 9/24/97 Bd. Meeting



AVCNet Board Meeting
September 24, 1997
Lewiston Public Library, Lewiston, Maine

Rick Speer called the meeting to order at 7:05.

1. Minutes of August meeting
Acceptance moved, seconded and approved.

2. Treasurer's Report
Jim Hart reported stable bank balance but concern about lack of 
membership renewals (~10%). He has listed memberships with expiration 
dates in the web members listing. 

3. Northeast Computers & Education Expo
October 4th, Ramada Inn, Lewiston

Organizers are hopeful for a big event, at least breaking even on costs.

Rick has worked a draft for a general purpose tri-fold brochure to be 
available at the expo (see below). 

David Sysko provided sample full color business cards for use at show. 
Cost at Kinko's would be about $25 per 144, but Jim offered to print 
David's file (on card stock from Rick).

Jim will produce the AVCNet WWW site on his laptop (--after Joan 
updates, including Lewiston P.D.) for projection at the show. Screen by 
Rick. Jim will need to adjust LA Arts pages as required for the original 
version to be displayed.

Rick will check with hotel on availability of padded chairs.

David will produce showcard logos with easel backs for booth.

4. AVCNet Brochure
Rick's draft for a general purpose tri-fold brochure was reviewed. The 
text highlights the Web List, Web space for members, Community Calendar, 
Discussion Lists descriptions and a sign-up pitch. Rick to e-mail text 
to David to layout.

Color copying was ruled out as too expensive for the coverage needed. 
Roger Fuller can Risograph 500 on heavier paper provided by Rick. 
Folding likely by Kinko's (~$5). 

5. Gating AVCNet conferences from First Class
Roger to gateway news to Usenet News (via Bates). This news can then be 
gated to discussion lists if we want.

6. Community Calendar Input
Jim to provide a front page introducing calendars, showing calendar 
choices and a caveat about how the service is new and in need of 
community participation in order for it to fulfill its promise.

How will the sports calendar(s)will be updated? Roger Fuller suggested a 
presentation to educate the school administrators/athletic directors, 
showing the possibilities. Jim followed up with an idea to provide a 
fill-in-the-blank database to the sports schedule people. Joan thought 
it would be possible to get the schedules directly from the league reps 
who make them. David felt that separate calendars by school would be 
more intuitive for most users. Schools may want to host their own and we 
would point to them. Joan will feel out the schools’ needs after NCEE.

7. Other Business
A mailing to the membership was discussed as a way to revitalize 
participation. Either the brochure alone, or with a companion piece, or 
in an envelope would be sent.

Meeting adjourned around 8:20 PM. Board members attending were Joan 
Scott, Roger Fuller, Jim Hart, Rick Speer, David Sysko.
